Auditing your RTO

The AQTF and ASQA state that a training organisation will generally be audited when it first applies for registration, again within the first 12 months of initial registration and then at renewal of registration .

Audits may also occur at other times such as monitoring or strategic audits, or when an RTO wants to extend its scope of registration (i.e. add qualifications or courses to those it is already approved to deliver), following a complaint, and on a risk basis during the registration period informed by the risk profiles that are developed for RTOs based on both the internal and external operating environment of an RTO.

Under the AQTF, registering bodies use a nationally consistent risk management approach to monitor the quality of training and assessment services provided by RTOs.

Registering bodies use the information collected on RTOs through the Quality Indicators, other audits and community feedback to monitor each RTO and track the quality of outcomes. Based on this monitoring, registering bodies make decisions on frequency, scope and depth of audits of the RTO. 

There are three primary sources of information used in the risk management process:

  • Risk Assessment, based on, for example, delivery of qualifications in areas subject to licenses, multi-site delivery including across jurisdictions, delivery to international students, and offshore delivery.
  • Annual data and information collected, that is, performance against the learner engagement, employer satisfaction and competency completion quality indicators
  • Information collected during Audits of RTOs.
  • Adding scope and moving from your state registering body to ASQA.

It is recommended that prior to any audit RTO’s conduct a self-assessment or Internal audit prior to your external audit.
